Summary
As Admin Assistant you will perform a variety of administrative tasks to ensure smooth operations within the Agency. This role requires strong organisational skills, attention to detail, and the ability to handle multiple tasks simultaneously.
Your duties include but not limited to:
Finance Administration
Checking and approving company and director expenses
Process company receipts on our finance system
Pay suppliers invoices
Collate receipts for regular direct debits
HR Administrator
Support with onboarding and offboarding team members
Team member birthday card and gift vouchers
Support with the recruitment process including posting jobs to our website and linked in ,references, offer letters and contracts of employment
Maintaining office policies and managing health and safety procedures. Updating them in the company handbook on HR portal.
Resource Administration
Creating and sending contracts to freelancers
Onboarding freelancers - setting up on slack, monday boards, creating OK COOL email address
Processing freelancer invoices
Supporting Resource manager on resource requests
Agency Administration
Book company travel for the team, finding the best price and ensuring all team members have everything they need to travel
Assisting with company IT queries and managing the internal company IT items.
Order stationery and supplies for the office
Ad hoc agency wide requests
Additional tasks/duties as required/needed
There will need to be some flexibility working the odd evening due to supporting the US team
Relevant Experience:
Minimum 5 years experience
Required Skills:

Communication skills
Able to work appropriately with confidential and sensitive information
