A highly successful IT and telecommunications services company based in central London is seeking an Office Manager.
In this role, you will be responsible for creating a professional and efficient reception area and assisting in the smooth running of the HR Dept. You will also manage and run the office efficiently and effectively, providing a 'serviced office' to the company and its sister company.
TYPE : Permanent, full time
WORKING DAYS: 35 hours per week, Mon-Fri 9:00-17:00
LOCATION: Central London
START: ASAP
SALARY: Up to £35,000 depending on experience + Travel fee (Zone1-6)
Office Manager Main Responsibilities:
Provide ‘serviced office’ facilities to all staff and visitors, such as addressing any building issues, seeing to guests, arranging drinks for staff and visitors attending meetings
Answer switchboard; Arrange courier services; Train new staff on reception duties (and staff for cover), Induction of new staff on business trips, absence
Maintain the holiday/sick files and absence management
Supply CFO with annual figure work connected to holiday sick file
Deal with incoming post, logging cheques & when necessary, take outgoing post to collection point each evening
Receive inward goods and keep a log; Manage the Access List, for both staff and customers Monitor and maintain a register of archive boxes and arrange disposal when necessary
Monitor and carry out a monthly audit of spare security cards
Arrange their security cards and keep log book and program through Astrow system
Do Annual Audit on Security cards
Monitor and maintain a register of archive boxes and arrange disposal when necessary
Monitor and recredit the franking machine; Maintenance management of printers, copiers
Stationery monitoring and orders; Arrange milk deliveries, also kitchen and office consumables
Clean and maintain the coffee machines, including stock control
Manage office cleaning & commercial contracts
Report maintenance problems with toilets / building / air conditioning
Monitor and maintain a log for the building maintenance contract and deal with office building problems
Arrange flower deliveries to customers and staff when necessary
Business travel and hotel bookings for staff and visitors
Greet guests and arrange refreshments - alongside the relevant divisions
Test Alarms on security doors bi-annual and keep report
Programming and monitoring of the aircon system
Manage and arrange security bins/document disposal
Take full responsibility for Risk Assessments for Health & Safety and Fire Risk, including working, resolving remedials associated with this work and audits; Lead Fire Warden
Keep a comprehensive logbook of monthly and annual Compliance maintenance required by law and by Landlords
Keep a record of works for above including, tap temperatures, fire extinguishers, energy usage
Organise office parties
Taxi management, invoices and record keeping
Ad hoc requests from your line manager
Office Manager Ideal Candidate:
Knowledge of Health & Safety legislation including Fire Safety regulations
Basic understanding of Data Protection legislation (GDPR)
Commercial contracts understanding and proved record of managing them
Conscientious, dedicated worker with strong sense of responsibility
Professional attitude with a willingness to go that extra mile
Flexibility to attend extra early mornings for maintenance & willing to put in extra time whenever necessary
Works well under pressure and maintains a pleasant personality and helpful manner at all times
Ability to meet deadlines at short notice

English proficiency business level
